Anyone have input on what should be included (or excluded) from a resignation letter? I have to put one together and teh google has me all confused as there are tons of opinions and many don't seem to relate. I'm in a technical field but not computers. I am a programmer, just not a PC/App programmer. I did have one suggestion of "see ya bitches" but I really don't feel that way. I like the company I am going to leave - just want to further my career by going a different direction. I'm in the middle of a pretty major and important project so I'd like to give 4 weeks notice to help with transitioning not only the major project I'm on but all the other projects I've quoted and worked on the past decade.

cliffs:
need letter to say I'm leaving
want to leave on good and professional terms
"see ya bitches" won't work

Any HR or management level people have suggestions?

I would (and did) come to work early on the last day and come take a huge dump on the boss' desk and "c u bitch if youre lucky" everyone on my way out. but since you said you wanted to end on a good term I would say just buy a couple of dozens donuts and sneeze on them before serving.

Two issues.

One
I have always been an advocate of short and direct resignation letters. Two to four sentences should be sufficient.

I have used words to the effect of:

I appreciate the opportunity that X Corp has provided for me. However, I have decided to leave X Corp on Y Date. Please consider this my letter of resignation.
Sincerely,
Uno

Two
Some organisations have a policy of letting people go when they turn in their letter of resignation. Consequently, I would recommend that you have a Plan B in place for yourself should you be let go early. (For example, when will the health care from your new job start? If there is a gap, how do you plan to cover it?)

It sounds like you have a good relationship with the people that you work with. Nonetheless, my experience is that matters like resignations are handled by organisational policy and the HR department...

Best of luck,
Uno

uno's letters and advice are the best-short and sweet, be prepared to be shown the door immediately.

I don't like the "I have decidedd to make this move to advance my career" part of Spg1's letter. Unnecessary and can certainly offend the present employer.

That's where I got a bit confused, some suggest inclusion - others not.
I am prepared to be shown the door but it would not be in their best interest to do so and they have not done that to others in the past.

I like to have the email written and ready to go but to tell my boss in person. As soon as the conversation is over I send the email.

Its a pretty negative move to leave in the middle of a "pretty major and important project". Most employers will be pissed if not handled correctly.

Tell your employer that you intend to leave to take your career in a different direction but stay on until the project is completed.
Another thing you might want to consider is do the training with another person but then say that you would make yourself available (limited part time) until the project is complete. That is if you want to leave on good terms. Whats the time frame for this project?

Anyways all you have to do is something like
Dear CEO,

I would like to offer my resignation effective XXX date.
I have enjoyed my time at YYY company but have decided to take my career in another direction.

Sincerely,
CADsortaGUY

That is all you need.

Why does it matter?

You said you were going from one Utopian state of Iowa to another Utopian state of Wisconsin.

Short and sweet is good general advice, but, if I'm not mistaken, you've been there a long time. And their policy of not immediately showing the door to resigning workers further indicates your company is not the soulless, impersonal type.

What I mean is that I'm guessing you have a warmer and more personal relationship with the powers that be than might be the case for many in today's corporate America. I'm guessing this because, if it is the case, your letter should not be TOO short or impersonal (what people mean by the 'sweet' in 'short and sweet.')

One piece of advice my Dad gave me is that, with any and all business correspondence, especially any containing criticism or bad news, you should begin AND end with a positive statement, thus sandwiching any negative news in positive goodness.

So . . . I advise including one strong sentence in a stand-alone beginning paragraph saying how much you have enjoyed working there, and expressing your personal gratitude for all the support, guidance, and opportunity to learn and grow they've given you, mentioning anyone you wish to by name.

And, frame your announcement of leaving as reluctant (which it likely in part is.) Let them know your decision wasn't an easy one, but rather dictated by circumstances you couldn't pass up.

Reassure them that you will do everything in your power to mitigate your loss to the project you're on in the time you have left, and tell them again in your last sentence, in a last stand-alone paragraph, what a fine company full of superior people they are and have been in your eyes.

Finally . . . good luck to 'ya!

Mr. The Boss

Staff Incompetence Manager

The Office of Non-Compliance

Re: Resignation Letter

Dear Boss,

Let me first start by saying, I have always admired how your professional demeanor in the office ironically correlates with your surname. Being said, I would have given you a two weeks resignation notice. However, over the years I have watched you immediately terminate employees after they give you their two weeks resignation letter. Therefore, it gives me great pleasure to present my resignation letter to you effective immediately.

You have always said I should be more proactive and take more initiative, so I'm sure you won't mind me taking this initiative and beating you to the punch. How I see it, I'm saving you the trouble of thinking up of some devious accusation to terminate my employment and tarnishing my good name in this unethical corporate world. Now, I don't expect you to care about my well being because you don't even care about your own children or your spouse. That's why you rather spend most of your time in your office after hours pretending to do the company's work.

By the way, I know after you read the first paragraph, your little conniving calculating brain had already thought up of a devious plan to spite me with. Keep in mind, I don't need you at this point for a letter of recommendation. Your secretary, who is seeing your husband behind your back has already taken care of that for me. You should have paid more attention to all the documents your secretary made you sign in the past week. Your husband filed for divorce weeks ago unknown to you and your secretary made you sign your divorce papers. She also made you sign over all your rights to your house, children, money and other assets. Well, I bid you farewell and I hope you found this letter as amusing as everyone else in the office will.

Sincerely,

...On to a better tomorrow

I quit my job recently and what I sent them was (literally):

Hello <HR Manager>,
As per our discussions, please accept this email as my letter of resignation effective <date>.

Cheers,
-Martin

I don't think anyone gives a fuck about anything more than that. I did speak to my manager in person beforehand of course, and told him why I'm leaving.

As to the "major project" - my portion is mostly done as it was up-front engineering and design and handing it off to someone else to mop up is no problem as I've had others helping during the project. Each are capable of finishing it for me. I was hoping to not be in the middle of a project when I left but the way things have been for me the past 2 years there has been no chance to do it and I doubt there will be one for atleast the next year as I roll project to project. Starting another before the last finishes.

I am planning on offering myself until the end of the project even though I'll be with the new company as the new company wants to make sure everyone is happy as well. This isn't the first time this has happened between us all

Thanks everyone for the help - I'm working on getting all the wording right - hopefully it'll come across right.
